Social Security will notify sick leave decisions online only
Order ISM/541/2026 came into force this September, extending the cases in which Spain’s Social Security communicates exclusively by electronic means, through its Electronic Office (SEDESS). Here is a summary of the key points and how they may affect your company.

Which procedures are now included?
Until now, mandatory electronic notification covered benefits such as birth and childcare, or risk during pregnancy or breastfeeding. Since 1 September 2026, it also covers temporary incapacity, permanent incapacity and permanent non-incapacitating injuries. In practice, any employee who applies for or receives one of these benefits will no longer receive decisions by post.
Watch out for SMS and email alerts
Social Security may send an SMS or email when there is a new notification, provided the employee has registered their phone number and email address, but that message is for information only. The notification is deemed delivered as soon as it is available in the Electronic Office, whether or not it has been read. That is why it is advisable to have a digital certificate, electronic ID card or Cl@ve at hand and to check the platform regularly.
What we recommend
Although the notification is addressed to the employee, a decision that goes unnoticed can complicate a return to work, a medical discharge or payroll calculations. Our recommendation:
- Inform your staff of the change.
- Encourage them to keep their digital certificate or Cl@ve up to date.
- Always check the latest status before handling any procedure linked to sick leave.
